Apostilling an Italian certificate: what to check before you send it

Pre-flight checklist: destination country, EU exemptions, competent authority, signature, original or copy, digital, then translation.

October 12, 2026 · 3 min

You already have the Italian certificate and you want to “send it for the Apostille”. Before you move the paper, a checklist helps. The order of document, Apostille and translation covers the sequence. Here the question is whether the certificate is ready to be apostilled.

ItaloDocs is a private agency: the Apostille is affixed by the Prefettura or the Procura, depending on the type of record. We can handle Apostille / legalisation of Italian documents before the competent offices.

1. Destination country

The Apostille applies between States party to the 1961 Hague Convention. If the destination country is not a party, the path is legalisation (often longer). If it is a party, the Apostille replaces that diplomatic chain. See also Apostille and the Hague Convention.

2. Do you actually need it? EU and other exemptions

If the recipient is an authority of another Member State and the record falls under Regulation (EU) 2016/1191, that Regulation does not require legalisation or Apostille. The exemption applies only to covered documents and public recipients, not to any “European” document: a degree or a private recipient remains outside. Detail: EU public documents.

3. Competent authority in Italy

There is no single counter. In operational terms (recheck against the type of record): certain administrative / civil-status acts at the Prefettura; certain judicial acts (criminal record, judgments) at the Procura. Taking the paper to the wrong office is the most expensive mistake in time.

4. Signature, original, copy, digital

CheckWhy
The signature/stamp is of a public official whose specimen the office holdsWithout a specimen, no Apostille
Original or certified copy, as the recipient asksA plain photocopy often cannot be apostilled
Digital document / ANPRNot every electronic format is apostillable in the same way; check first
The certificate is “for use abroad” if the issuer draws that distinctionSome Comuni use that wording

Format

A civil-status certificate printed from a citizen portal may not be the medium the Prefettura apostilles. Ask for the accepted format before you pay for a wasted trip.

5. Translation: after, not before

If the destination country asks for a translation, you usually apostille first and translate afterwards (including, if required, the text of the Apostille). Reversing the steps can mean redoing the translation. That sequence is in the guide on the order. For the translation: sworn-translation quote.

  1. Destination country (Hague / extra-Hague / EU 2016/1191)
  2. Recipient: public authority or private party
  3. Type of record → Prefettura or Procura
  4. Signature and medium (original, certified copy, digital)
  5. Then, if needed, translation into the recipient’s language

Frequently asked questions

Can I apostille a scan?

As a rule the office works on an original or a certified copy with a verifiable signature/stamp. A scan on its own is almost never enough.

Do I apostille a foreign record in Italy?

Italy apostilles Italian records. A Spanish or British certificate is apostilled in the issuing country, not at the Prefettura.
