Digital Venezuelan documents and electronic Apostilles: can they be translated and sworn in Italy?
PDFs, QR codes, e-Apostilles and scans are not the same thing. What can be assessed for sworn translation in Italy — without obtaining the act in Venezuela.
October 20, 2026 · 3 min
More Venezuelan records now arrive as a PDF, with an electronic signature, a QR code or an e-Apostille. This page distinguishes what kind of digital object you hold and whether that specimen is suitable for sworn translation in Italy. It is not a SLAE tutorial.
The service
We can assess translation of the complete PDF you already have — Apostille and verification pages or codes included. Download, renewal and validation on the Venezuelan portal remain the official channel.
Six different situations
| What you have | What it is, in short | What not to assume |
|---|---|---|
| Authentic electronic document | A file issued by the authority, with a stated verification mechanism | That every Italian court treats it like paper |
| PDF downloaded from the official portal | An electronic copy of the act or Apostille, if the portal generates it that way | That a screenshot or a truncated file is enough |
| Scanned copy | A reproduction of a paper original | That the scan “becomes” an e-Apostille |
| Photograph | An image, often partial, with glare and cropped margins | That it will do for swearing or for the ALI portal |
| e-Apostille | An electronic Apostille in the e-APP framework | That any PDF with a QR code is an e-Apostille |
| File with no verification | An export, a WhatsApp forward, a photo of a photo | That it is a presentable public document |
Among Contracting Parties, the Hague Conference states that an electronic Apostille must not be refused merely because it is digital. That does not require an Italian swearing office, or a Prefettura, to accept any medium. The citizenship instructions for applications in Italy ask for PDF scans of acts already issued, page by page, not photographs.
e-Apostilles in Venezuela
The MPPRE introduced the electronic Apostille for some categories — including, for some time, the criminal-record certificate. An HCCH notice in 2025 states that from 11 June 2025 Venezuela extended e-Apostilles to many SAREN categories, with verification via QR or consultapub.saren.gob.ve. The list of categories changes: read it on Venezuelan and HCCH sources.
An unreadable QR code, a missing verification page or a cropped PDF is, for translation, an incomplete specimen. We do not claim that “all digital documents can be sworn”.
What to send for a quote
- the entire PDF, not a screenshot;
- the electronic or paper Apostille, if already attached;
- verification pages or files (visible QR) if they form part of the specimen;
- later sheets (annotations, reverse) if they exist.
Apostille then translation remains in Venezuelan documents, Apostille and translation. Send us the complete PDF, including the Apostille and verification codes, to assess sworn translation.
Frequently asked questions
Can a digital Venezuelan document be translated?
Often yes, if the file is the complete official specimen. A photo or a cropped PDF usually not.
Can every PDF be sworn in Italy?
No. It depends on what the file is and what the swearing office asks for.
Does an e-Apostille replace translation?
No. An Apostille does not translate the contents of the act.
Must I include the QR code?
If it is part of the specimen, yes.
Does ItaloDocs download the act from SLAE?
The file is obtained through the official channel (SLAE or equivalent). Once you have it, we can assess whether it is ready for sworn translation.
